2. Information We Collect

2.1 Account Information

When you create an account, we collect:

• Email address
• Name
• Password (stored in encrypted/hashed form)
• Phone number (optional)
• Profile picture (optional)
• Company information (company name, job title, industry)
• Timezone and language preferences

2.2 Workspace & Business Information

To provide our services, we collect:

• Workspace/business name
• Primary business domain
• Business type and industry
• Cost margin percentages for profit calculations

2.3 Connected Advertising Platform Data

When you connect advertising platforms (Google Ads, Meta Ads, Amazon Ads, TikTok Ads, Pinterest Ads, Klaviyo), we collect:

• OAuth access and refresh tokens (encrypted at rest)
• Ad account identifiers and names
• Campaign performance data and metrics
• Advertising spend and revenue data

2.4 Conversation Data

When you use our AI chat features, we collect:

• Chat messages and conversation history
• Conversation titles and metadata
• User preferences and insights for improved recommendations

2.5 Billing Information

Payment processing is handled by Stripe. We store:

• Stripe customer ID (not your actual payment details)
• Subscription plan and status
• Billing period information

We do not store your credit card numbers, bank account details, or other sensitive payment information directly. All payment data is securely handled by Stripe in accordance with PCI-DSS standards.

3. AI Data Processing & Privacy Protection

We do not pass any Personal Information (PI) to AI systems.

Our AI features are powered by third-party AI providers (such as Anthropic's Claude). We have implemented strict data handling practices to protect your privacy:

• No Personal Information Shared: We do not transmit your personal information (name, email, phone number, address, or other identifying information) to AI providers.
• Business Data Only: AI interactions are limited to aggregated advertising performance data, campaign metrics, and anonymized business analytics.
• No AI Training: Your data is not used to train AI models. Conversations are processed in real-time and are not retained by AI providers for model improvement.
• Anonymized Context: When providing context for AI recommendations, we use anonymized and aggregated data that cannot be used to identify you personally.

3a. Chat Platform Integrations (Slack & Microsoft Teams)

PaidOrbit can be connected to chat platforms — currently Slack and Microsoft Teams — so your team can ask about your advertising performance from inside those tools. This integration is optional and is set up by a workspace administrator; no end user ever needs to enter an API key or credential into a chat message.

How the connection works

• Admin-initiated: An administrator connects your workspace to Slack or Teams from PaidOrbit Settings using each platform's standard OAuth approval flow. We record who granted the connection, when, and the exact consent text shown.
• Credentials stay server-side: The credential that links your workspace to the chat platform is created and stored by us (encrypted at rest) and is never displayed, sent into a chat message, or shared with the AI provider.
• Identifiers we receive from the platform: the Slack team ID / Microsoft Teams tenant (organization) ID, and the identifier of the user who connected — used solely to link messages from that workspace to your PaidOrbit account.

What data flows to the chat platform

When a member of your connected workspace asks a question, the answer — which may include your own advertising metrics (spend, ROAS, campaign results) — is delivered as a message on that chat platform. This means Slack (Slack Technologies) or Microsoft (Microsoft Teams) processes that response as part of delivering it, subject to their own privacy terms. We operate an ephemeral, zero-copy posture for these surfaces: we do not send the chat platform any data beyond what is needed to answer the specific question asked, and we do not use chat-platform content to train AI models.

Advertising sources restricted in chat

To honor the redistribution terms of certain advertising providers, data from Amazon Ads, LinkedIn, TikTok, Pinterest, and Microsoft Advertising (Bing) is automatically withheld from chat-platform responses. Only sources whose terms permit it are surfaced through Slack and Teams.

Disconnecting

An administrator can disconnect Slack or Teams at any time from PaidOrbit Settings. Disconnecting revokes the managed credential, records the withdrawal of consent, and stops all further data flow to that platform.

4. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve our services
• Process your transactions and manage your subscription
• Send you transactional emails (verification, password resets, billing)
• Provide AI-powered marketing insights and recommendations
• Connect and synchronize data from your advertising platforms
• Analyze usage patterns to improve our platform
• Respond to your comments, questions, and support requests
• Protect against fraudulent, unauthorized, or illegal activity

5. Third-Party Services

We integrate with the following third-party services to provide our platform:

5.1 Advertising Platforms

• Google Ads - For accessing your Google advertising data
• Meta (Facebook) Ads - For accessing your Meta advertising data
• Amazon Ads - For accessing your Amazon advertising data
• TikTok Ads - For accessing your TikTok advertising data
• Pinterest Ads - For accessing your Pinterest advertising data. Ad creatives are shown from Pinterest when you view them and are not stored
• Klaviyo - For email marketing integration

5.2 Infrastructure & Services

• Stripe - Payment processing
• Resend - Transactional email delivery
• MongoDB - Database services
• Azure - Cloud storage and infrastructure
• Anthropic - AI services (Claude) - No PI shared

5.3 Chat & Messaging Platforms (optional)

If an administrator connects a chat platform (see Section 3a), these providers process the responses delivered to your team:

• Microsoft (Microsoft Teams) - Delivers PaidOrbit responses within your Teams organization
• Slack Technologies - Delivers PaidOrbit responses within your Slack workspace

Each third-party service operates under its own privacy policy. We encourage you to review their privacy practices.

6. Data Security

We implement industry-standard security measures to protect your data:

• Passwords are hashed using bcrypt with secure salt rounds
• OAuth tokens are encrypted at rest using AES-256 encryption
• All data transmission uses TLS/HTTPS encryption
• Rate limiting protects against brute force attacks
• Regular security audits and monitoring
• Access controls and authentication for all API endpoints

While we strive to protect your information, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.

7. Data Retention

We retain your information for as long as your account is active or as needed to provide you services. You can request deletion of your account and associated data at any time. After account deletion:

• Personal account data is deleted within 30 days
• Conversation history is permanently removed
• Connected platform tokens are revoked and deleted
• Billing records may be retained as required by law

8. Your Rights & Choices

Depending on your location, you may have the following rights:

• Access: Request a copy of your personal data
• Correction: Update or correct inaccurate information
• Deletion: Request deletion of your personal data
• Portability: Receive your data in a portable format
• Opt-out: Disconnect advertising platforms at any time
• Withdraw Consent: Revoke previously given consent

Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that differ from your jurisdiction. We ensure appropriate safeguards are in place for such transfers in compliance with applicable laws.
